This policy explains what personal information Scaffold.ca Inc. collects, why, and what we do with it. It covers this website (scaffold.ca) and its quote form, and our business app at app.scaffold.ca, including the app's connection to QuickBooks Online.
Who we are
Scaffold.ca Inc. ("Scaffold.ca", "we", "us") is a scaffolding, shoring and shrink-wrap company at 25 Taber Road, Etobicoke, Ontario M9W 3A7. We handle personal information under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
This website and the quote form
What you send us
When you ask for a quote, we receive what you type and attach: your name, company, email address, phone number, the project location, scope and timeline, your message, and any drawings or photos. We use it to reply to you, prepare a quote and do the work if you hire us. Our web host, Netlify, receives and stores form submissions on our behalf.
Google Analytics
We use Google Analytics to count visits and see which parts of the site people use. It sets cookies and collects information such as the pages you view, your device and browser, and your approximate location. We do not use it to identify you. You can block these cookies in your browser settings, or use Google's opt-out browser add-on.
Other services on the site
The site loads its fonts from Google Fonts and links to our Instagram page. Those services may receive your IP address when your browser contacts them.
Our business app and QuickBooks Online
app.scaffold.ca is our own internal software. Only Scaffold.ca staff and people we authorise use it. It is not sold or offered to anyone else. Clients may receive a link from it, for example to sign a quote, and then see only what that link shows.
What the app reads from QuickBooks Online
When one of our administrators connects our own QuickBooks Online company, the app reads: our company name; our customer list, including the contact details stored there (names, email addresses, phone numbers and billing addresses); our invoices and their lines; credit memos and their lines; payments and the invoices they pay; and our products, services and sales tax codes.
What the app writes to QuickBooks Online
The app may create an invoice in our own QuickBooks company, but only when an authorised staff member does it. It does not change or delete anything else in QuickBooks.
Why we use it
Only to run our own business: keeping our billing records accurate and complete, matching them against QuickBooks, following up on what clients owe us, and preparing our invoices.
We never sell your information
We do not sell personal information, use it for advertising, or share it with anyone for their own purposes. We disclose it only to the service providers below, so they can run our systems for us, or when the law requires it.
Who handles it for us
- Microsoft hosts our business app and its database (Microsoft Azure) and provides our staff sign-in and email (Microsoft 365).
- Intuit provides QuickBooks Online, our accounting system.
- Anthropic provides the AI assistant built into our business app. When a staff member asks it a question, the records needed to answer may be sent to Anthropic, which may process them in the United States. Under its commercial terms, Anthropic does not use this data to train its models.
- Netlify hosts this website and receives quote-form submissions.
- Google provides Google Analytics and Google Fonts for this website, and maps in our business app.
Inside Scaffold.ca, staff see only what their role needs. Money amounts are visible only to staff with financial permission.
Where it is stored
Our business app's data, including what it reads from QuickBooks Online, is stored in our database on Microsoft Azure in the Canada Central region (Toronto, Ontario). Some of our service providers, including Netlify, Google and Anthropic, may process information in the United States, where it is subject to the laws of that country.
How we protect it
- All connections to the website and the app are encrypted (HTTPS).
- QuickBooks access tokens and app keys are encrypted at rest and never shown on screen.
- Staff sign in to the app with Scaffold.ca Microsoft 365 work accounts, and access is limited by role.
- Connecting or disconnecting QuickBooks is restricted to administrators and is logged.
How long we keep it
As long as we need it for our business, and for as long as the law requires us to keep business records (for example, the Canada Revenue Agency's six-year rule).
Disconnecting QuickBooks Online
An administrator can disconnect QuickBooks at any time in the app (Settings → Connectors → Disconnect). This revokes the app's access at Intuit and deletes the stored access tokens. Access can also be removed from the connected-apps list inside QuickBooks Online. Records already copied into our billing history stay part of our business records.
Your rights
If we hold personal information about you, for example as a client contact or because you sent us a quote request, you may ask to see it, ask us to correct it, or withdraw consent where the law allows. Contact our privacy officer below. If you are not satisfied with our answer, you may contact the Office of the Privacy Commissioner of Canada.
